Square Systems Ltd is committed to protecting our customer’s privacy and takes its responsibility regarding the security of customer information very seriously.
UK Data Protection Laws require us to manage all personal information in accordance with the Data Protection Act 2018. These regulations require us to process your personal information fairly, lawfully and in a transparent manner. You are entitled to know how we use any information we hold, who we share it with and the purpose for which we have it.
This Privacy Notice sets out details of the information that we may collect from you, how we may use that information, how we store it and your legal rights in relation to it.
“Data Controller” means the party that determines the purpose or means of the processing of the personal information. This is usually the company for whom we are carrying out the survey.
“Data Processor” means the party that processes the personal data on behalf of the data controller which, in this case, is Square Systems.
“Personal Data” means any information by which you can be personally identified, such as your name, address, telephone number and information about your access to our website.
“Respondents” are people who have completed a survey that we provide, host or operate.
Depending upon the nature and method of the service being offered, Personal Data will either be collected by us or supplied to us from our Customer (the Data Controller).
We may have been provided with your telephone number or email address from our customer in order for us to contact you and allow you to partake in the particular survey being undertaken by our customer.
In some instances, it is the feedback and satisfaction of the employees which is being measured and so, for example, an employee’s work number might be used for verification.
Sometimes you will be directed to a Square Systems’ website from an external source, such as a link in an email. In this instance we record information about the source that referred you to us.
We and our third party suppliers collect information from the device and application you use to access our services. Device data may include your IP address, operating system version, device type and browser type.
Our web servers, like most websites today, keep log files that record data each time a device accesses those servers. The data contained in these logs are about the nature of each access, including the originating IP address, internet service provider, operating system version, device type and time stamp.
All personal information collected or processed will be treated as private and confidential and will only ever be transferred or disclosed to the company for whom we are conducting the survey, i.e. the Data Controller.
We only use your personal data to invite you to take part in a particular survey.
Where you have responded to a survey, you will need to contact the individual or organisation for whom we are conducting the survey directly in order to discuss managing, deleting, accessing, restricting access to or otherwise withdrawing consent for use of, the information which you provided to them in your responses.
